Privacy Policy

Last updated: 1 November 2026. This policy explains how JMS Academy (Jamiah Minhajis Sunnah) collects and uses personal data through our website and student / staff portal.

1. Data we collect

• Admission & student records: name, date of birth, gender, contact numbers, email, National ID (Aadhaar / equivalent), address, education background, photo, course/batch preferences, and related biodata fields you submit or update.
• Account data: username / register number, hashed password, role, status, last login, session / remember-me tokens.
• Academic & attendance: class activity, Zoom attendance, leave requests, exam uploads and scores, Islamic activity logs, Hifz progress where applicable.
• Fees: fee requests, amounts, due dates, payment references, screenshots or gateway transaction IDs, scholarship records, and approval status.
• Online courses: enrollments, progress, quiz results, ratings, certificates.
• Technical: IP address and browser logs as processed by our hosting; cookies / local storage for login session, PWA install dismissal, and similar preferences; FCM device tokens if you enable push notifications.

2. Why we use your data

• Process admissions and create student / staff accounts
• Deliver classes, exams, materials, and certificates
• Collect and reconcile fees; issue receipts
• Enforce access rules (e.g. overdue fees) and academic policies
• Send operational notifications (fee / exam / class reminders) when enabled
• Improve security, prevent fraud, and support the portal
• Comply with legal or regulatory requests where required

3. Legal basis

We process data to perform our educational contract with you (or your guardian), for legitimate interests in running the academy securely, and where you consent (e.g. browser notifications, optional marketing if ever offered separately).

4. Cookies, PWA, and notifications

Essential cookies / storage keep you signed in (including optional “Remember me for 90 days”). The PWA may cache assets for offline-friendly loading. Push notifications use Firebase Cloud Messaging; tokens are stored against your user account so we can send reminders. You can clear site data or revoke notification permission at any time in your browser.

5. Sharing with third parties

We do not sell your personal data. We share limited data with processors who help us operate the service, such as:

• Payment gateway providers (to complete fee transactions)
• Hosting and email infrastructure
• Firebase / Google for web push (device token and message delivery)
• Video or file hosts used for class content, under our configuration

Staff and administrators access student data only as needed for their role.

6. Retention

Student and academic records are retained for the duration of enrolment and thereafter as needed for certificates, audits, and institutional records. Payment records are kept for accounting. Account credentials remain while the account is active. You may request correction of inaccurate data via the academy contact channels.

7. Security

We use password hashing, role-based access, HTTPS on production, and session controls. No method of transmission is fully secure; please use a strong password and sign out on shared devices.

8. Children

Some programs serve minors. Applications and accounts for minors should be completed with parental / guardian involvement. Contact us for questions about a child’s data.

9. Your choices

• Update bio / contact details in the student portal where available
• Disable notifications in the browser
• Request access or correction by emailing the academy
• Uninstall the PWA and clear site data to remove local caches / tokens

10. International users

Servers and processors may be located in India or other regions used by our providers. By using the portal you understand your data may be processed in those locations under appropriate safeguards used by those services.

11. Changes

We may update this Privacy Policy. The “Last updated” date will change when we post a revision. Significant changes may be highlighted on the portal.
